Conditions, Policies and Procedures for Occupancy
Thank you for booking with Bear Country Property Management Ltd. Please carefully read our policies and
procedures listed below and contact our office at 1-800-811-4588 or e-mail: email@example.com, if there
are any questions or concerns regarding the following:
CHECK-IN: For all check-ins, please proceed to the Bear Country office at HEARTHSTONE LODGE,
3170 Creekside Way. For late check-in due to travel or other delays, please call ahead to confirm
arrangements with our staff.
Upon check-in a SIGNED VISA or MC imprint is MANDATORY. We do NOT accept AMERICAN
EXPRESS or VISA/MC DEBIT cards!
Check-in: as of 4 pm / Check-out: 10 am
Late check-out is subject to approval. There is a $50 late check-out fee.
DEPOSIT POLICY: An advance deposit equal to your first night’s stay (before taxes) is due at time of
booking to guarantee your reservation. Final payment will be automatically charged to the visa or master
card on file 30 days prior to arrival. For reservations made within 30 days of your arrival date, full payment
is required at time of booking.
CANCELLATION POLICY: If you cancel your reservation MORE than 30 days prior to your expected arrival
date, an amount equal to your advance deposit is forfeited. Cancellations made less than 30 days prior to
your arrival will result in forfeiture of full amount. In the event that a reservation is altered by either a later
arrival date or an earlier departure date, there will be no refund made to charges already put through on
your credit card.
SECURITY POLICY/DAMAGES: An open, signed credit card imprint (MasterCard or Visa ONLY) is
required upon check in to cover any damages, excessive housekeeping costs or miscellaneous charges
accrued by guests. This credit card will remain on file for the duration of your stay and further until we are
able to inspect the property after your departure. The tenant is liable for any damages to the premises and
to furnishings, to equipment, hot tub (if applicable) and to household items therein which occur during the
tenant’s occupancy, excluding normal wear and tear. The tenant is also liable for any missing items, e.g.
towels, kitchen utensils, etc. A $50 processing fee will be added to any damages or missing items billed.
BEAR COUNTRY reserves the right to evict guests/tenants without any refund, if after a verbal warning by
the manager on duty, the guests continue to pose a noise disturbance or a safety risk to other Bear Country
PARKING: Bear Country guarantees only one parking stall per unit rented (some units have more than one
designated stall/ private garages). There are a number of free, first come first serve, parking areas
throughout the resort.
HOUSEKEEPING SERVICE: Prior to your arrival, the rental unit is thoroughly cleaned and stocked with
fresh linens, bath towels, soaps (including dishwasher and laundry), and paper products. Our rates do not
include daily maid service. On stays over 10 nights a towel/linen change will be provided upon request.
PETS/SMOKING: Bear County is proud to offer its guests non-smoking accommodations. This policy is
strictly adhered to, and any breach of this policy will result in substantial additional charges. We have a
limited number of pet-friendly units that are available only upon request and additional charges will apply.
There is a $500 extra cleaning fee, if pets are staying in units not specified as pet-friendly.
BBQ’s: As all our units at Bear Country are individually owned, not every unit is equipped with a gas
barbeque. If this is a feature that is important to you, we recommend checking the unit description on our
website for a detailed list of unit amenities.
HOT TUBS: Tenants of units that are equipped with hot tubs will receive hot tub guidelines and regulations
on check-in. Please bring your own beach towels when renting a property with hot tub!
UNIT ASSIGNMENT: In the rare event of booking conflicts with homeowners or unforeseen maintenance
emergencies, Bear Country reserves the right to substitute comparable accommodations up to and including
the day of arrival with no additional charge to the tenant.
TRAVEL INSURANCE is recommended.
