If you cancel before 30 days of your arrival date, your 1st nights deposit is non-refundable. If you cancel within 30 days of your arrival date, the booking will result in forfeiture of full amount.

A non-refundable Processing Fee of 3% is applied to every booking.

If you are staying in one of our complex’s there will be a check-in map link in the email you will receive on the day of arrival.

 

Once you have filled out your online check-in, you will receive your access codes once your unit is ready on your day of arrival.

Your rental unit will have all the essentials when you arrive. Our rates do not include daily housekeeping service, however if you have a longer stay please review our full conditions below.

The front desk at Cahilty Lodge will be happy to supply you with coffee.

Condos, townhouses, and vacation homes will have one complimentary pouch of coffee. If you have a longer stay we recommend you bring coffee for a standard coffee machine with you.

Your unit is self-catered, so we do recommend you bring anything you think you may need for your stay such as milk, spices, condiments etc.

We do have some designated pet friendly units. Just look for the paw print on a property when searching! Daily pet fee applies. One dog only.

Cahilty Lodge has outside and parkade parking on a first come first served basis – fee applies.
The majority of other units have a designated spot included (typically for one car). There is paid parking for any extra vehicles. Please check your unit description for more details.

Many of our condos and townhouses have a private hot tub, check the description before booking. Cahilty Lodge & Fireside Lodge have common hot tub areas.

No, I’m afraid each of our units have a total capacity that must be adhered to.

We do have a handful of cribs that may be available for your stay. They are on a first come first served basis, please check when booking.

Yes. Cahilty Lodge has communal ski rooms and condos/townhouses will have ski storage either within their property, garage or locker.

The taxes are currently as follows: PST (8%), GST (5%), Municipal (3%)

We have a zero tolerance smoking policy within or around all of our properties. Fines will apply.

Email our team at reservations@bearcountry.ca. The team will check for the item in the room and lost property and contact you if it is found. It is then up to you to arrange for collection either in person or via a courier. Our recommended courier is Sun Peaks Cargo.

For the hotel, you may take your extra garbage and recycling to the bins provided on the Parkade level or request garbage pickup using the housekeeping request forms.

DO NOT leave garbage outside the unit.

Bear Country will pick up garbage in the Winter on Thursdays & Sundays. In the summer, garbage will be collected upon request and on after check-out. Please leave the garbage inside of the unit door or private garage. For all extra garbage, please take to The Burfield Transfer station.

DO NOT leave garbage outside the unit. Fines will be issued if garbage is left outside in accordance with Bylaw. We also do not want to encourage wildlife around our properties.

Conditions, Policies, and Procedures for Occupancy

Thank you for booking with Bear Country Property Management (2018) Ltd. Please carefully read our policies and procedures listed below and contact our office at 1-800-811-4588 or e-mail: reservations@bearcountry.ca, if there are any questions or concerns regarding the following:

 

CHECK-IN LOCATIONS:

CAHILTY LODGE
For reservations at the Cahilty Lodge, 3220 Village Way.

For late check-in due to travel or other delays, please call ahead to confirm arrangements.

CONDOS, TOWNHOUSES, VACATION HOMES, FIRESIDE LODGE, KOOKABURRA LODGE

Prior to arrival, you will receive an email and text from Canary* with a link to begin your digital check-in process. All you need to do is simply fill out the easy-to-use forms provided by the platform with your personal details. No need to stop at the Front Desk to fill out paperwork and collect access codes. 

Please go directly to your booked unit. You will receive an email on the day of your check-in with the access codes to enter the unit (after completing the online check-in). Please note, that check-in time is 4 PM. You will receive the email as soon as your unit is ready.

If you do prefer to check-in in person please come to our Front Desk at Cahilty Lodge, 3220 Village Way.

*Please note that if your personal information is collected by a third party, such as Canary Technologies, it will be kept in accordance with the privacy policies and records retention requirements of that third party.

*In order to verify your credit card during the online check-in process Canary will place a hold of US$1 on your credit card. It is an industry standard for verifying the credit card is active and valid. There is no cost to you as it is immediately refunded/canceled.

DEPOSIT POLICY: An advance deposit equal to your first night’s stay (including taxes) is due at time of booking to guarantee your reservation. Final payment will be automatically charged to the visa or master card on file 30 days prior to arrival. For reservations made within 30 days of your arrival date, full payment is required at time of booking.

A non-refundable Processing Fee of 3% is applied to every booking.

If you booked your stay through a third-party company, please refer to their deposit policies.

Please note that you are booking with the understanding that there will be no refunds for cancellations due to COVID-19 or any other medical reasons. By making a booking with us you understand and acknowledge that should your trip be affected in anyway due to COVID-19 or any other medical reasons, you will not receive a refund.
We recommend purchasing the appropriate travel insurance for your trip.

CANCELLATION POLICY FOR DIRECT BOOKINGS: If you cancel your reservation MORE than 30 days prior to your expected arrival date, an amount equal to your advance deposit is forfeited. Cancellations made less than 30 days prior to your arrival will result in forfeiture of full amount. In the event that a reservation is altered by either a later arrival date or an earlier departure date, there will be no refund made to charges already put through on your credit card.

For all cancellations the processing fee is non-refundable regardless of when the booking is cancelled and no matter the reason of cancellation.

If you booked your stay through a third-party company, please refer to their cancellation policies.

SECURITY POLICY/DAMAGES: Your credit card is recorded upon check-in to cover any damages, excessive housekeeping costs or miscellaneous charges accrued by guests. This credit card will remain on file for the duration of your stay and further until we are able to inspect the property after your departure. The tenant is liable for any damages to the premises, to furnishings, to equipment, hot tub (if applicable) and to household items which occur during the tenant’s occupancy, excluding normal wear and tear. The tenant is also liable for any missing items, e.g. towels, kitchen utensils, etc. A $50 processing fee will be added to any damages or missing items billed.

MINIMUM NUMBER OF NIGHTS: Min. number of nights are in effect depending on the size of the unit booked (# of bedrooms) and the dates of the reservation (Christmas/New Years period). Please check with our reservations department for details.

MINIMUM CHECK-IN AGE: For Cahilty Lodge the minimum age is 19 years. For every other Bear Country property, you must be of legal age of 21.

PETS: Designated pet-friendly properties are available upon request. Pet fee applies – $30 per dog per night. A $ 350.00 fee applies if a pet stays in a not as pet-friendly specified unit or if a guest is bringing a dog without letting us know before check-in.

SMOKING: All our properties and complexes are NON-SMOKING! This policy is strictly adhered to and any violation will result in substantial additional charges. This includes balconies, patios, indoor areas, hot tub areas and outdoors within the complex.

UNIT ASSIGNMENT: In the rare event of booking conflicts with homeowners or unforeseen maintenance emergencies, Bear Country reserves the right to substitute comparable accommodations up to and including the day of arrival with no additional charge to the tenant. If there is no comparable unit available, Bear Country will issue a full refund to the guest for the accommodation.

QUIET HOURS: Quiet hours begin at 10 PM and end at 7 AM. Please respect your neighbors! Hot tub use in condos is not limited to these hours, but please keep voices down and noise level to a minimum between 10 PM and 7 AM. There is a bylaw in effect and bylaw officers are patrolling. Infractions or noise call outs may result in fines of up to $500. Loud noise, loud music, loud voices, running in the corridors of hotels, playing on the elevators, high traffic in/out suites, and loitering are not permitted and can result in immediate eviction with no refund. Noise levels should be at an acceptable level as judged by other guests and Hotel Management. If Hotel Management receives a noise complaint, we will only give one warning to quieten down. Receiving a second complaint will result in the unit(s) being asked to leave the property and no refund will be given. Thank you very much for your cooperation!

BEAR COUNTRY reserves the right to evict guests/tenants without any refund, if after a verbal warning by the manager on duty, the guests continue to pose a noise disturbance or a safety risk to other Bear Country guests or Bear Country staff.

PARKING:

CAHILTY LODGE
Parking spot or underground parking on first-come, first-served basis. A nightly charge applies.

FIRESIDE LODGE
Parking spot or underground parking on a first-come, first-served basis. No charge.

ALL OTHER BEAR COUNTRY PROPERTIES
Your unit has a set amount of parking spots assigned. Most units have ONE spot available. Please look at the unit description to find out the number of spots available. All additional vehicles must register at Front Desk. A nightly charge applies, on a first come first, serve basis.

HOUSEKEEPING SERVICE & GARBAGE PICK UP:

Cleaning Services will be offered as follows unless restricted by Federal or Provincial Health Orders.

CAHILTY LODGE
We offer a linen & towel change every 4 nights on bookings 7 nights or longer. We are happy to replace any items you may need during your stay. Please, fill out the Housekeeping Request Form provided in your unit OR download our Bear Country App to submit your request through the App. Submit your request before 10 AM for same-day delivery.

The kitchen cleaning is the guest’s responsibility.

For the hotel, you may take your extra garbage and recycling to the bins provided on the Parkade level or request garbage pickup using the housekeeping request forms.

FIRESIDE LODGE
Your rental unit has fresh linens, bath towels, soaps (including dishwasher and laundry), and paper products. Our rates do not include daily maid service. However, a linen & towel change every 7th night for stays 10 nights or longer will be provided. The kitchen cleaning is the guest’s responsibility.

For Fireside, you may take your extra garbage and recycling to the bins provided on the Parkade level

FOR KOOKABURRA LODGE

Your rental unit has fresh linens, bath towels, soaps (including dishwasher and laundry), and paper products. Our rates do not include daily maid service. However, a linen & towel change every 10th night for stays 14 nights or longer will be provided. The kitchen cleaning is the guests responsibility.

For garbage, you may take your garbage and recycling to the garbage room on the Parkade level

ALL OTHER BEAR COUNTRY PROPERTIES
Your rental unit has fresh linens, bath towels, soaps (including dishwasher and laundry), and paper products. Our rates do not include daily maid service. However, a linen & towel change every 10th night for stays 14 nights or longer will be provided. The kitchen cleaning is the guests responsibility.

Bear Country will pick up garbage in the winter on Thursdays and Sundays (except for Kookaburra Lodge & Fireside Lodge). In the summer, garbage will be collected upon request and on after check-out.  Please leave the garbage inside of the unit door or private garage. PLEASE NOTE:
Housekeeping Requests Forms in the Bear Country App are ONLY for guests staying at the Cahilty Lodge.

UNITS WITH PRIVATE HOT TUB:
Prior to your arrival your hot tub has been chemically balanced and checked.
Our hot tub crew will stop by daily, to ensure water quality and levels.
Please Note: If Hot Tub cannot be accessed from outside, a crew will need to enter the suite to service the Hot Tub.
If the tub requires extra maintenance due to careless actions, extra charges will be charged back to the guest.
Your hot tub will be set at 104 degrees Fahrenheit prior to your arrival. Our hot tub team will be happy to adjust the temperature if needed.

In the rare occasion of the hot tub being out of order during your stay, Bear Country will offer a $50 refund for every day the hot tub is out of use.
